Getting started for project leads

ReFIS Flow - software for digitising and approving documents

A project lead tracks the money of their projects in ReFIS from the budget to the payment and approves the documents that concern the projects.

What a project lead does in ReFIS

A project in ReFIS

You add a project in the Projects module. Besides the name and the responsible person, you enter the customer or supplier, the status, the start date and the expected end date, and other details, for example the location.

Every project is also a label. You mark an amount that concerns the project with the project's label. With a second label, you can specify what the amount concerns - for example a project activity such as “Construction” or “Project documentation and permits”. The project budget is divided in the same way, so you compare the budget and the actual figures by activity.

When the project's amounts are added

What happens Document in ReFIS Amounts
you draw up the project budget - budgeted
an employee requests a purchase for the project purchase request requested
the company makes an agreement with a customer, supplier or external worker contract, purchase order agreed
the customer takes over part of the project or the company takes over a delivery delivery note, acceptance protocol delivered
the company issues or receives an invoice invoice invoiced
money comes in or goes out bank statement, sales receipt payments

You mark every amount with the project's label. If a received invoice concerns several projects, you split it into lines so that each line belongs to one project. Amounts from the different steps are connected by matching: the invoice with the order, the payment with the invoice.

You record the work of your own people on the project in time entries.
