What to invoice

ReFIS Flow - software for digitising and approving documents

The What to invoice report shows you what you should invoice - contract payments, deliveries and other agreed amounts that are coming up. ReFIS offers them in advance so that, once the invoice is issued, the customer has enough time to pay it by the date you are counting on. Thanks to this, you do not forget to invoice regular payments or agreed work.

You will find the report in the menu Documents → Tools → What to invoice.

What the report offers

  • agreed and delivered amounts from active folders that have not been invoiced or closed yet - for example monthly payments from contracts, purchase orders or deliveries. An amount appears when the time left from today until the date it is to be paid is only the customer's invoice due period. For example, with a due period of 14 days, a payment due on 30 April appears on 16 April.
  • paid proforma invoices for which no invoice has been issued yet
  • time entries that are to be invoiced and have not been invoiced yet - if you enable them in the report settings

On the left are the customers with the total amount to be invoiced to them, on the right the individual amounts: description, amount, how much to invoice, due date, when it will be paid and labels. By checking customers on the left you narrow the list on the right.

Issuing invoices

You select amounts (or whole customers) and with the “Bulk document creation” function you issue invoices, proforma invoices or delivery notes - including an invoice that also serves as a delivery note. You send the finished documents with the “Send by e-mail, post” function (or via Peppol).

You mark an amount you are not going to invoice with the “Mark as closed” function. You mark time entries that are not to be invoiced with the “Mark as non-billable” function. The “Mark as closed” and “Mark as non-billable” functions appear only with the corresponding right.

Settings

In the report settings you choose, among other things, which amount folders to include, and whether to show time entries, the currency, the document type and the total amount per person. By default, agreed and delivered amounts are included, and only customers who need to be invoiced something.

You see the report with the “Summary of amounts by person: What needs to be invoiced?” right, and you create documents with the “Bulk document creation” right (or “Bulk document creation only from approved records”).
