Receivables and payables

ReFIS Flow - software for digitising and approving documents

The Receivables and payables report shows who owes you and whom you owe - customers and suppliers with unpaid invoices and agreed amounts, for example everything overdue as of today.

You will find the report in the menu Documents → Tools → Receivables and payables. The reports “What to invoice”, “What to pay” and “To whom to send a reminder notice” are on the same screen - they differ only in their default settings and you switch between them with tabs.

What the report shows

On the left is a list of persons with the amount and with what still has to be paid. By ticking persons you narrow the list on the right, which holds the individual amounts: external person, description, amount, how much has to be paid, due date, when it will be paid, labels and the status of the payment order (icon).

By default the report shows both receivables and payables overdue as of today - invoiced amounts and agreed and delivered amounts. ReFIS judges whether an amount is overdue by the original due date, not by the postponed date “We will pay on”.

You see the report with the Payments module and the right “Summary of amounts by person: Receivables and payables”.

Report settings

With the function “Change report setting” you choose, for example:

  • whether to include invoiced amounts, amount folders and time entries
  • “Amount type” - only incomes (receivables), only expenditures (payables) or both
  • “Due date” - everything regardless of the due date, or only overdue: “more than the specified number of days...”, “since the beginning of this month”, “today”, “on ...” and others
  • the approval status, or the signing status
  • the total amount per person or per document - positive, negative or regardless
  • currency, document type, type of bank account number
  • the date of fulfillment, of the last reminder notice or of the payment order

For example, receivables overdue by more than 30 days: amount type “Incomes” and due date “more than the specified number of days” with the value 30.

What to pay

The “What to pay” tab is the same report set to persons with a negative total amount, that is those you owe, and without a payment order in the last three days. From there you pay with the function “Create payment orders from documents”.

Functions

For the selected amounts:

The function “Change date "We will pay on"” is shown only with the corresponding right.

You will find the list of all invoiced amounts, not only unpaid ones, in the menu Money → Other financial amounts → Invoiced.
