Mark as closed

ReFIS Flow - software for digitising and approving documents

With the Mark as closed function in the Documents module you close a document or an amount that you will no longer match with another amount. For example:

  • A purchase order was created for a higher amount, and during its fulfillment it turned out that only part of it will be invoiced. So that the purchase order does not remain in the “Partially invoiced” state forever, you mark it with the “Mark as closed” function.
  • An invoice was not paid, or you have not imported payments and you do not want it to keep appearing in the “Unpaid” state.

Reports

In the Income and expenditure grouped by labels report, amounts marked as closed are counted as follows:

  • the unmatched part of an amount marked as closed is not included in the values in the “Total income and expenditure” column. This column therefore contains only actual income and expenditure that will be or already have been invoiced or paid. For example, a purchase order for a car repair was created for 100 EUR, but during the repair it turned out that the repair is simpler and only 70 EUR will be invoiced. You mark the unmatched part of the purchase order amount of 30 EUR as closed, and the report shows only the value of 70 EUR.
  • the values in the other columns (budget, agreed, delivered, invoiced amounts or payments) include amounts in full, regardless of whether or not they are marked as closed
