ReFIS Flow - software for digitising and approving documents
Invoiced amounts are amounts that come from invoices or proforma invoices.
When you enter documents of the type received/issued (proforma) invoice, ReFIS creates invoiced amounts - each line of the document is an invoiced amount. If a document has, for example, 13 lines (13 items with their own sums), 13 invoiced amounts are added in this module. You can tag each amount with different labels (for example, when one invoice for material arrives and the individual items belong to different projects). ReFIS remembers the link between the document and the invoiced amount, and from an invoiced amount you click through to the document it was created from.
From the point of view of matching with payments, an invoiced amount can be in the status:
In the form for a new invoiced amount (and likewise when editing an existing amount) you enter:
With the function “Edit labels” you change the tagging of the selected amounts with labels. If “Remove original labels” is checked, ReFIS replaces the original tagging with the new one; otherwise it adds the new labels to the original ones.
With the function “Create payment orders from amounts” - and with the function “Create payment orders from documents” in the cash flow reports - you create payment orders from the selected amounts or documents, which you then send to the bank. More information is in the article Create payment orders.
With the function “Change date "We will pay on"” you move the internal date when the company plans to pay a payable or when it actually expects a receivable to be paid. This date helps with cash flow management.
With the function “Delete amounts” you delete the selected amounts. Access to it should therefore be limited to a small group of employees - for most users the function “Cancel amount” is enough.
With the function “Cancel amount” you mark an invoiced amount as canceled; with the function “Reverse amount cancellation” you remove this status. Canceled amounts are crossed out in the list.
