Automatic shift of the “We will pay on” date

ReFIS Flow - software for digitising and approving documents

The automatic shift of the “We will pay on” date is a nightly ReFIS task that, every day after midnight, moves the “We will pay on” date of amounts that should already have been paid to today.

Together with the “Change date "We will pay on"” function, you use it to move the internal date on which the company plans to pay a payable, or on which it realistically expects a receivable to be paid. For invoiced amounts, this is a value independent of the “Due date”; it is only preset to the same date at the beginning. For amounts from amount folders, it is derived from their planned date, so changing it manually moves that date too.

The automatic shift works as follows:

  1. ReFIS finds all receivables and payables that:
    1. are in the “Unpaid” or “Partially paid” status and are not marked as closed (amounts in the “Paid” status are not taken into account)
    2. have a “We will pay on” date earlier than the last midnight, i.e. they should already have been paid.
  2. For each such amount, ReFIS changes the “We will pay on” date to today's date.
  3. ReFIS does the same for budgeted, requested, agreed and delivered amounts - the “We will pay on” date is set to today, or to the end of the amount's planned payment period if that is still in the future.

The task runs only if the company has the Payments module enabled or one of the “Summary of amounts by person” reports. During the shift, the “We will pay on” date on the document is synchronized as well, if all its active invoiced amounts have the same date.
