A document can have various dates recorded:
- “Date of issue” - the date when the document was created.
- “Date of receipt” - the date when the document was received by your company. When a document is received into unprocessed documents, ReFIS presets it to the current date.
- “Date of supply” - governed by law; simply put, it marks the day when you handed the goods over to the customer, when you delivered the agreed service, or when you received the payment, if that happened before the goods or service were delivered.
- Fulfillment and “Date of delivery” - in fulfillment you track in ReFIS the dates on which the delivery of goods or a service took place. For the fulfillment you enter a period (start and end, i.e. the whole interval), for “Date of delivery” only one day, usually the last day of the fulfillment.
- “Posting date” - you use it if the invoice is for a service with specified fulfillment dates but arrives later, when it already:
- cannot, from a legislative point of view, be recorded in the period of the actual fulfillment, or
- would have to be recorded in a closed accounting period
- “Due date” - the latest date by which you require to receive the payment (or, for a received document: the latest date by which your supplier requires to receive the payment).
- “We will pay on”/“They will pay on” - when you want to pay or expect to receive the payment; it is used for cash flow and can be shifted automatically.
- “Date of payment” - when the document was actually paid.
- “Date of export to accounting” - the date when the document was exported to the accounting system or another external system.
- “Sending date” - the last sending of the document by e-mail or post (if the document is sent several times, it contains the date of the last sending).
