ReFIS Flow - software for digitising and approving documents
Amounts are the financial sums ReFIS works with. The company uses them to track money from the budget to the payment.
| Amount | What it means | Where you find it |
|---|---|---|
| budgeted | what the company plans for | Budget |
| requested | someone has requested it, there is no agreement with the other party yet | Other financial amounts |
| agreed | it is covered by a purchase order or a contract | Other financial amounts |
| delivered | the goods or service have been delivered or received, usually based on a delivery note | Other financial amounts |
| invoiced | it is on an invoice or a proforma invoice | Invoiced |
| payment | it has been paid | Payments |
In reports and filters you choose between them together - for example, in Budget vs. actual you compare budgeted amounts with invoiced amounts or with payments.
Amounts that belong together are connected by matching - for example a payment and the invoiced amount it settles. If the same payment is recorded more than once, it is connected by linking.
Amounts are kept in amount folders - a folder is a list of amounts that belong together. ReFIS keeps two folders itself, and you cannot create or delete them: Invoiced and Payments. They hold the amounts from documents and from bank statements.
You create other folders yourself in the menu Money → Amount folders, so that you can track amounts separately - for example salaries separately from rents. You can create any number of such folders, and for each you enter the Folder type: “For budgeted amounts”, “For requested amounts”, “For agreed amounts” or “For delivered amounts”.
The folder type also determines access: budgeted folders are visible only to users with the right to the Budget module, the other three have their own right. A company that keeps purchase orders and contracts therefore does not need to have the Budget module enabled.
Regardless of where an amount comes from, you enter its Amount type:
In addition, for payments:
For an amount in a folder (budgeted, requested, agreed or delivered) that recurs regularly, you can set up a repetition (for example every month), which creates a series of amounts.
