You use linking amounts when one and the same payment is recorded more than once. For example:
- a sales receipt contains 5 lines (individual amounts) and is paid by card (the bank statement shows one aggregate payment). You can link these amounts to each other.
- a sales receipt in a foreign currency was paid by a card from an account held in the main currency, and because of exchange rate differences the sum does not match exactly. You can link these amounts as well.
- a sales receipt for 93 EUR was paid by card together with a tip/service charge for a total of 100 EUR. The sum therefore does not match exactly, but you can link the amounts.
- one sales receipt contains 3 lines and is paid with several card payments. Example: a payment at the dentist, where 1200 EUR has to be paid for a crown, the work and anesthesia (so the document has 3 lines), but because of the card limit it is paid in two parts: first 800 EUR and then 400 EUR from a second card from another account. There will therefore be 2 payments on 2 statements (possibly with different dates).
Automatic identification
ReFIS automatically identifies amounts to be linked and offers them in the matching tool based on several criteria:
- Based on the last four digits of the card
- in the sales receipt, you can select the card you paid with. The last four digits are usually also shown on the sales receipt or on the payment terminal slip
- on the bank statement, the last four digits may be given in the payment text; ReFIS tries to find them
- Based on the date
- Based on the sum (taking into account whether the sum matches exactly, or at least approximately because of a tip/service charge or exchange rate differences)
