Sales receipts

ReFIS Flow - software for digitising and approving documents

Sales receipts are documents proving payment - in cash, by card or to an account. ReFIS distinguishes:

  • received sales receipt - you received it, for example a receipt from a shop
  • issued sales receipt - you issued it yourself

The naming follows the same logic as for other documents (received and issued purchase order, received and issued invoice): what matters is whether it is your own document or a document from an external person, not whether it records incoming or outgoing money. That is why we do not call even a received sales receipt an “expense” receipt.

Form

You add a sales receipt in the Documents module with the “Add received sales receipt” or “Add issued sales receipt” function. Besides the person, dates and amounts, you fill in:

  • “Payment method” - the payment methods intended for sales receipts are offered
  • “Account / cash desk” (issued) or “Account/cash desk/person” (received) - where the money left from or where it arrived. Depending on the payment method, cash desks and persons, or bank accounts are offered; for a received document also the company's payment cards.
  • “Related document” - for example the invoice the document pays

For an issued document paid in cash, ReFIS rounds the amount according to the currency settings and shows “Rounding” and “Amount due”.

A sales receipt creates payments by itself. If you enter a related invoice, ReFIS matches the payment to it and the invoice is paid.

Documents from a mobile phone

You take a photo of the receipt or scan its QR code in the mobile app, and the document arrives in unprocessed documents. For Slovak sales receipts from a cash register (eKasa), ReFIS downloads the receipt data directly from the Financial Administration of the Slovak Republic based on the QR code.
