ReFIS Flow - software for digitising and approving documents
The report To whom to send a reminder notice shows you the customers who owe you for overdue invoices and helps you send them reminder notices. ReFIS can also send reminder notices on its own.
You will find the report in the menu Documents → Tools → To whom to send a reminder notice (if the company also has the Payments module enabled).
By default you see issued invoices and agreed amounts overdue as of today, only for customers and documents where they really owe you something (a positive sum), and only those for which you have not sent a reminder notice yet or sent it more than a set number of days ago. You set the number of days in the report settings.
On the left are the customers with the sum to be paid, on the right the individual amounts with their due dates. The column “Reminder notice” shows with an alarm clock how many times you have already sent the customer a reminder notice for the document: green once, yellow twice, red three times or more.
You select amounts or customers and with the function “Bulk document creation” you create documents of the type issued reminder notice. Then you send them with the function “Send by e-mail, post”. ReFIS does not create a reminder notice if nothing is overdue or everything is paid.
ReFIS can send reminder notices on its own, every day after midnight. You set this up in the menu Other → Settings → E-mail templates, in the tab “Reminder notices”:
An empty field means that the reminder notice is not sent. ReFIS then creates an issued reminder notice for each overdue issued invoice that has not been paid and sends it to the customer's e-mail from the address book. Reminder notices are sent automatically only for issued invoices, not for agreed amounts. Sending of e-mails must be set up.
