Other financial amounts

ReFIS Flow - software for digitising and approving documents

In the Other financial amounts module you record amounts that are neither part of the budget nor payments - requested, agreed and delivered amounts and amounts from invoices.

What belongs in the module

In the menu Money → Other financial amounts, every amount folder of the type requested, agreed or delivered has its own item with the name of the folder. Budgeted folders do not belong here; they are in the Budget module.

Folder type What it contains Typical document
requested amounts that someone has requested, but there is no agreement with the other party yet purchase request
agreed amounts agreed with the other party purchase order, contract
delivered goods or services that were physically delivered or received delivery note, acceptance protocol

The last menu item is Invoiced - invoiced amounts from invoices and proforma invoices.

Amounts from folders, invoiced amounts and payments are connected by matching: for example, an agreed amount from a purchase order is matched to a requested amount, an invoiced amount from an invoice to the agreed one, and a payment to the invoiced one.

Access rights

The folders of requested, agreed and delivered amounts are made accessible by one common right, independent of the Budget module. This way a company can keep purchase orders and contracts without having the Budget module enabled. The Invoiced item is made accessible by the right to invoiced amounts.

The folders themselves - their name, type and status - are managed in the menu Money → Amount folders, which you see only with the right to amount folders. The folder type is entered when the folder is created and does not change when a folder is added based on a template.

List of amounts

The list of amounts in a folder offers functions similar to the budget. Besides adding income or expenditure, editing and cancelling, you can in particular:

  • Create amounts from selected amounts - creates from the selected amounts an amount in a folder of the next type (for example, an agreed one from a requested one), an invoiced amount or a payment, and matches them right away
  • Copy amounts to the same or another folder
  • Mark as delivered and Mark as closed

Most amounts, however, are not created manually but from documents: the lines of a purchase order or contract are recorded as agreed amounts, the lines of a delivery note as delivered ones. If “This invoice also serves as a delivery note” is ticked on an invoice, ReFIS also creates delivered amounts from its lines.
