What people ask us most

E-invoicing is becoming the European standard. Here are the answers that will help you get ready for it without unnecessary panic.

Rules and timing

Every country sets its own rules – the date and the scope differ. Most often the duty to issue electronic invoices applies to VAT-registered businesses for domestic B2B and B2G supplies, while the duty to receive them applies to every business. In a consultation we will tell you what applies in your country.

An invoice in a structured XML format based on the European standard EN 16931, in the Peppol BIS Billing 3.0 syntax. It is not a PDF or a scan – it is a machine-readable record the other side can process without anyone retyping it.

Where a mandate applies, the invoice has to travel in a structured format. Documents outside the mandate (receipts, invoices from non-businesses, some foreign documents) keep arriving the way they do today, and we can process them by data extraction.

You can invoice electronically voluntarily – the PEPPOL network is open and waits for no deadline. Plenty of companies do it before they have to: either a customer asks for it, or it simply saves them the work of retyping documents.

You can register and run a dry test at any time – there is no date to wait for. We recommend not leaving it to the last months: once a mandate takes effect, providers, accountants and your own suppliers all have their hands full, and the room for calm fine-tuning disappears.

Under the EU ViDA initiative, from 1 July 2030 e-invoicing extends to cross-border transactions within the EU. The PEPPOL network is ready for that today, so from your point of view it is a wider scope rather than a new transition.

Connection and technology

No. We connect to the systems companies commonly run – SAP, SAP Business One, Microsoft Business Central, POHODA, Money, ABRA, KROS and others. If your system does not support integration, you can use our web application on its own. The list is on the Integrations.

For systems we already support we are talking days, not months – it is configuration, not development. For a custom connection it depends on the interface your system offers; we will tell you at the consultation, not after a paid analysis.

We will build the connection. Most of the integrations on our list started exactly this way – because somebody asked for one. We also support standard interfaces such as REST API and SAPI-SK, through which any software can connect.

Whichever way you set it up: an e-mail notification, direct delivery into your accounting software, or over the API. Either way, the web application gives you an overview of every document and its status.

Errors against the rules of the standard are caught during validation before the invoice is sent, so a wrong document never reaches your customer. If the customer rejects an invoice, you see the reason – and where data is reported to the tax administration, we take care of the correction as well.

No. In countries where invoice data is reported to the tax administration, the access point creates and submits the report automatically – for the supplier and for the customer. There is nothing for you to file or watch. We submit the report as soon as the document is processed, not at the end of the statutory deadline.

ReFIS Access Point

Yes. We run a certified access point to the PEPPOL network. ReSOFT s.r.o. is listed in the register of certified delivery service providers under the identifier PA SK ID EFSK000025. You can verify our record in the register.

We run our own infrastructure. Your invoices do not travel through somebody else’s provider we have no influence over – a difference you notice mainly when something needs sorting out.

Every one of them has to be able to deliver an invoice – there we really are no different. The difference is what happens next: for twenty years we have worked on how documents circulate inside companies, get approved and get posted. No. The access point works on its own and you can stay with just that as long as you like. The other modules are an option, not a condition – and they are switched on when you ask for them.

Yes. A dry run is part of every package and you can start it any time. We recommend using it even when you are sure everything will work first time.

We process documents as a processor under the GDPR and the data stays in the EU. The specifics, including retention and access rights, are settled in the contract – and we are happy to go through them in advance at the consultation.
