ReFIS Flow - software for digitising and approving documents

ReFIS tracks loans using labels on payments: the Money balance in the company report shows how much the company owes the bank and other persons, and how much it has lent itself.

Setup

ReFIS recognizes three special labels:

  • “Bank loans”
  • “Loans from other persons”
  • “Loans to other persons”

A new company has them in ReFIS from the start, under the “Loans, leases, credits” label in the “Company” tree. ReFIS recognizes them not by their name but by a special identifier - so you can change the name. If you cannot find them in your company (for example, someone deleted them), you ask the support line for them.

Under these labels you create a sub-label for each loan, for example by the number of the loan agreement: “Bank loans → Loan 2025/123 Sample Bank”. In the Money balance in the company report you see only the total for each of the three groups; you find the individual loans in the payments by label.

How to label payments

You tag the payments (income and expenditure) in the Payments module with the loan's label:

  • receipt of the borrowed sum - the loan balance goes up
  • principal repayments - the loan balance goes down

The balance is the sum of income minus expenditure. With “Loans to other persons” it is the other way round: providing a loan is an expenditure, so the balance is negative until the debtor repays it, and a repayment from the debtor is income.

ReFIS adds up all payments with this label or its sub-label. Therefore:

  • you tag interest and fees with a different label (for example “Bank fees”), otherwise they would reduce the loan balance
  • future repayments are not counted in the balance - you plan them as agreed amounts, and you see them in cash flow management
  • deposits and withdrawals of money with this label are not counted
