Extended document types

ReFIS Flow - software for digitising and approving documents

An extended document type is a subtype that you choose on a document alongside its type - for example “Debit note” or “Invoice to the EU” for an issued invoice. Extended types can be used for invoices, proforma invoices, purchase orders and the general financial document.

You will find extended types in the menu Other → Code lists → Extended document types. For a type you enter:

  • “For which document type”
  • “Name” and “Identifier” - the identifier is the code of the type that some exports to accounting software need
  • “Active” - an inactive type is not offered on new documents and remains on old ones
  • on the “Default” tab, when ReFIS preselects the type itself: “Default by country” of the external person and “Default by currency” of the document

You activate or deactivate several types at once with the “Activate extended document types” and “Deactivate extended document types” functions.

Default

  • In the invoice and proforma invoice form, after you select the customer or supplier, ReFIS preselects the extended type according to their country (home country, abroad within the European Union or outside it) and shows a notice about it. The currency of the document is not taken into account.
  • When importing an e-invoice, ReFIS selects the type according to the supplier's country and the currency of the document. A type that has only a currency set and no country is not preselected.
  • ReFIS does not recognize triangular trade by itself; you choose such a type on the document manually. You also choose it manually on a purchase order and a general financial document.

Where the extended type is used

  • in VAT rates - a rate is offered only for the selected extended types of invoices and proforma invoices
  • in document footers (menu Other → Settings → Document footers) - if an extended type has exactly one footer, ReFIS adds it to the invoice or purchase order when you choose the type
  • in rules for documents - with the “Set extended document type” action
  • when exporting to some accounting systems, for example Pohoda or Money S3

If you rename an extended type, it also changes on existing documents. If you delete it, it is removed from documents and rules.
