Related purchase requests, orders and invoices

ReFIS Flow - software for digitising and approving documents

The Related purchase requests, orders and invoices report exports the whole purchasing path: from the purchase request through the purchase order and the proforma invoice to the received invoice - in one row, including the approval status of the purchase request and the invoice approval date. It is useful for checking whether purchases follow approved purchase requests and whether everything has been invoiced and paid.

You find the report in the menu Documents → Tools, and also as a function in the Documents module in the “Import and export” group. The result is an XLSX file.

Settings

  • “Search by document” - which document to start from: purchase request, issued purchase order or received invoice
  • period (“Export date from” and “to”, or a month) - for a purchase request by the approval date, for a purchase order by the sending date (otherwise by the date of issue), for an invoice by the date of supply

From the documents found, ReFIS follows the related documents in both directions, so the row contains the whole chain.

What the file contains

One row is one chain of documents; the columns are divided by document (purchase request, purchase order, proforma invoice, invoice). For each document there are “Document type”, “Registration number”, “External person”, “Document number”, amounts (“Amounts (in EUR)” and “Amounts including VAT (in EUR)”), “Date of issue”, “Closed” and “Canceled”. In addition, for the purchase request “Approval status”, “Approvers”, “Approver next in line”, “Requester” and “Approval actions”, for the purchase order “Document created by”, “Sending date” and “Invoicing status”, for the proforma invoice and the invoice “Pay” (the amount that remains to be paid), “Date of supply”, “Due date”, “Invoice approval date” and “Project”. The proforma invoice columns are in the file only if there is a proforma invoice in some of the chains.

You see the report with the “Related purchase requests, orders and invoices” right.
