Custom code lists

ReFIS Flow - software for digitising and approving documents

Custom code lists are lists of values that the company has set up according to its needs - for example a list of accounting software, VAT payer types or activity types. You select their values in custom form fields and also use them in searches.

Code lists and their values

You will find custom code lists in the menu Other → Code lists, each under its own name. ReFIS support sets up a list and its custom fields for you; you cannot create them in the application.

The list of values shows the “Name” and “Sequence” and is sorted by sequence. You manage the values with the functions “Add record”, “Edit record”, “Delete records” and “View record”. In the form you enter:

  • “Name” - required. ReFIS does not check whether the same name already exists in the list.
  • further fields according to the list settings - additional data you need to keep with the value, for example a text field, a selection from a list or “Image”. ReFIS support sets up these fields for you according to your needs.
  • “Sequence” - a whole number (0 by default) by which the values are ordered in the list and in the selection

Where the values are used

The values of a list are used in custom form fields, for example for a person in the address book, and in search filters. ReFIS support sets up these fields and filters for you.

Deleting a value

You cannot deactivate a value, only delete it, and deletion is permanent. ReFIS does not check whether the value is already used somewhere, so do not delete values that are already selected on records. If you select several values, ReFIS shows their list for confirmation before deleting them.

Access rights

Working with values is controlled by the operations “View a record in a custom list”, “Add a record to a custom list”, “Edit a record in a custom list” and “Delete a record from a custom list” in the user's position. They apply to all custom code lists at once, not to each one separately.
